People who are designated as Adults-in-Charge for their Official Party have an additional set of responsibilities in terms of assisting with registration and finalist reviews. Sunday: Project set-up begins at 8:00 a.m. Students must have cleared all SRC infractions prior to beginning project set-up. A list of SRC infractions is provided at Registration and will be posted at www.societyforscience.org/intelisef2013 on Saturday, May 11 by 6:00 p.m.; some SRC interviews require an adult to accompany the finalist(s).
Monday: All projects must have cleared the initial SRC and initial display and safety inspections by no later than 6:00 p.m. on Monday. A final infraction list will be posted on Monday evening (approx. 8:00 p.m.) at the Phoenix Convention Center and online at www.societyforscience.org/intelisef2013.Tuesday: Final clearance of infractions in the Exhibit Hall will occur from 8:00 a.m. to 9:30 a.m. on Tuesday. Please ensure that your finalists check the list posted on Monday evening and that they arrive early on Tuesday to correct any problems if their Project ID appears on the list. The exhibit hall will then be open to all finalists from 9:30 a.m.-11:30 a.m. to allow a final check of their project (no changes are to be made) and for media opportunities.
Tuesday morning from 9:30 – 11:30 will be the last opportunity for finalists to bring laptops or project notebooks and lock them down at the project booth before the judges pre-review the projects on Tuesday afternoon. If finalists are unable to lock down these items, they may return them to their project on Wednesday morning.
Wednesday: (Judging Day). The Exhibit Hall will open at 7:45 a.m. to finalists; they must be on the Exhibit Hall floor at 8:00 a.m. to begin judging. Finalists will conclude judging at 5:00 p.m. Thursday: Finalists must be at their projects from 10:00 a.m. to 2:00 p.m. for public visitation. They will be provided a snack and a raffle for prize items will be held. The Special Awards Ceremony begins at 7:00 p.m.
Friday: Project tear-down begins immediately after the Grand Awards Ceremony is over, at approximately 11:00 p.m. All UPS and Heavy Freight must be completed and all projects removed by 2:00 p.m.
For special needs (physical challenges or diet requirements), please inform the Fair Director in writing on a separate sheet of paper so that it may be included with the Official Party Registration Form. This is essential in order for SSP to make appropriate accommodations.
Once registration is complete, participants will receive their Intel ISEF name badge. All participants (adults and finalists) must wear their name badge during all Intel ISEF activities. It provides admission to all events reserved for registered Intel ISEF participants and identifies participants to each other. SSP Program Harassment Policy Adults are expected to ensure a safe and educational venue for students by notifying SSP staff of any concerns throughout the Intel ISEF week.
Harassment Generally SSP prohibits harassment of any kind against any student, volunteer, or employee by an Adult, another student, volunteer, SSP employee or third party for any reason including, but not limited to: age, national origin, race, color, religion, gender, sexual orientation, marital status, disability, ancestry and/or veteran status. Harassment includes but is not limited to slurs, epithets, threats, derogatory comments, unwelcome jokes, and teasing.
Any student or other person who feels that he or she is a victim of such harassment at an SSP program should promptly report the matter to an SSP employee or other Adult authority who must immediately present it to the proper Intel ISEF/SSP authority. If an SSP employee or Adult volunteer become aware of such a situation, he or she is under the responsibility to report to the proper Intel ISEF/SSP authority. Upon receipt of an allegation(s), an investigation will be initiated. All such reports will be handled as confidentially as possible. Intel ISEF/SSP may take appropriate disciplinary action against any person found to have violated the harassment policy.
No adverse action or retaliation will be allowed to be taken against a person who reports a violation or who participates in an investigation of this policy in good faith. Knowingly false accusations are prohibited and will be treated by disciplinary action comparable to that which would be applied to actual misconduct.
Sexual Harassment Sexual harassment of or by any person in attendance at an SSP program is prohibited. Sexual harassment includes but is not limited to unwelcome sexual advances, requests for sexual favors, and/or verbal or physical conduct of a sexual nature including, but not limited to, drawings, pictures, jokes, teasing, or uninvited touching. In accordance with this policy, unwelcome sexual advances, requests for sexual favors, sexual demands, or other verbal or physical conduct of a sexual nature will constitute sexual harassment when: • The conduct has the purpose or effect of unreasonably interfering with an affected person’s performance, or creating an intimidating, hostile, or offensive environment; or in third party situations, one or more individuals are reasonably offended by the sexual interaction, conduct, or communications between others. • The conduct has the effect of creating actual, perceived, or potential conflicts of interest, favoritism, disruption or lack of objectivity.
