General Housing for Intel ISEF 2009 in Reno, Nevada will open on Tuesday, November 18, 2008 at 10:00 a.m. EST.  Please read the following information and then click on the link below to make your reservation.

PASSKEY INTRODUCTION
For the 2009 Intel ISEF, Society for Science & the Public and Experient, Inc. will be utilizing a computerized housing reservation system called Passkey. Passkey uses an Internet-based software in conjunction with a centralized reservation database to manage hotel reservations. This practical, flexible solution is in use today at many major U.S. destination cities and at more than 2000 Passkey-enabled hotels. Passkey provides a more efficient and effective reservation process for the fair participant and the hotel. With Passkey, each fair director will be able to register for housing online. The online system will allow each participant to review all of the hotels available and it also allows each participant to make changes (see details below under deadlines for applicable/permitted online changes) to his/her reservations as close as a month prior to the Intel ISEF. It also e-mails a Passkey acknowledgement number within 24 hours of reservations being made to confirm receipt of each reservation.

TO MAKE RESERVATIONS:

  • Read these instructions carefully.
  • Affiliated fairs do NOT need an access code. Please select what best describes you from the drop down box to make reservations. Others, who are in a pre-assigned block, please enter the code that has been previously distributed to you in the box provided.
  • If you need to make 2-6 room reservations, you may do so on the second screen when you have a choice of hotels.
  • If you need more than 7 rooms, please contact Cait Goldberg cgoldberg@societyforscience.org at Society for Science & the Public.
  • Rooms submitted under a school, district, or company name alone will not be accepted.

CREDIT CARD GUARANTEE:

  • All room reservations must be guaranteed by a valid major credit card.

DEPOSIT:

  • Your credit card will be charged one night's deposit on or around April 15, 2008 for each room reservation.
  • This charge will be refunded if a reservation is cancelled by the deadline established by the hotel.

ROOM AVAILABILITY:

  • Rooms requested via this form are assigned on a first-come, first-served basis.
  • If rooms are no longer available in your hotel choices, you will be placed in a hotel based on availability.

PAYMENT:
All guest room rates are subject to Reno, Nevada taxes, currently 12%.

  • Cash is accepted at check-in.
  • All major valid credit & bank cards are accepted at check-in.
  • Corporate & personal checks are accepted if hand carried to the hotel and provided at check-in.
    • DO NOT SEND ANY CHECKS TO EXPERIENT, HOTELS OR Society for Science & the Public PRIOR TO ARRIVAL.
    • A $50 per room per night deposit is required to have incidentals, such as phone, internet, mini-bar, parking etc. accessible during the stay. Credit cards, bank cards, or cash are acceptable forms of payment for this deposit.

DEADLINES

  • All new housing reservations must be requested by April 7, 2009.
  • Date changes will be made on a space available basis.
  • Changes to the name, address, date, special room requests, room type, and roommates portion of your reservation online, can be made via fax, mail, or e-mail (see below for contact information).

CANCELLATIONS - IMPORTANT

  • Cancellations received by March 13, 2009, will not be charged a fee.
  • Cancellations received on/ after March 14, 2009 will be subject to a $50 cancellation fee (including reservations made after March 14)
  • Cancellations must be received by the housing bureau by April 10, 2009 (online, fax, mail or email).
  • Cancellations made directly with the hotels on or after April 11, 2009 and no shows are subject to one night's deposit.

CONFIRMATIONS
Reservations made on-line will receive a Passkey acknowledgement number within 24 hours if a valid e-mail has been provided. If no e-mail is provided or if the e-mail sent to you is returned undeliverable, you will receive an acknowledgement number via fax or regular mail within 5-7 business days. The Passkey acknowledgement number confirms receipt of your reservation.

NOTE: Society for Science & the Public has contracted hotel rooms on behalf of Intel ISEF participants. We encourage all Intel ISEF attendees to reserve their hotel accommodations through the official Intel ISEF housing site. Failure to do so could result in steep penalties for Society for Science & the Public. Booking your hotel reservation directly with the hotel is not the same as booking through the Intel ISEF housing bureau. In order for Society for Science & the Public to get credit for the room/s, attendees must go through the Intel ISEF housing site. The rates secured by Society for Science & the Public are less than the advertised rates at the contracted hotels. Your continued support of the Intel ISEF housing bureau will allow us to continue to book lower rates in future years as well.

  • Many Intel ISEF social functions including the Student Pin Exchange, the Host City Welcome Event, and the Mixers will be held at the GSR
